Job Description:
As directed by the Sr. Administrative and Logistic Officer, the Front Desk and HR Assistant will:
  • Act as the Project’s Front Office Assistant at the project headquarter office in Peshawar, including greeting visitors and direct them to the appropriate project staff member, and answer the telephone.
  • Schedule and keep track of outgoing and incoming courier (DHL, TSC and Federal Express service packages etc).
  • Schedule and keep track of the use of conference rooms in the project headquarters office and ensure that the conference rooms are properly arranged and equipped for meetings and that the appropriate refreshments are available for participants.
  • Create and maintain lists showing the names, job titles, office locations, telephone and mobile phone numbers and E-mail addresses for all project staff members and key project counterparts
  • Make in-country travel (including flight reservations and travel by project vehicle or hired vehicles and drivers) and hotel arrangements for project headquarters and visiting international staff members.
  • Create and maintain a filing system for the project headquarters office. Create and maintain a project library and records of materials in the library.
  • Assist the HR officer in arranging CVs received for any position, print and put it in files.
  • Assist the HR Officer in maintaining personnel files.
  • Assist in maintaining leave records and share it with HR officer.
  • Arrange for timely purchase of consumable office and cleaning supplies for the project headquarters office and keep storage and record of issue and receipts of the supplies/stationery.
  • Any other task assigned by the Management.
Experience and Qualification:
  • Bachelor degree in any field
  • Minimum 2 years working experience
  • Good inter personal communication skills
  • Must be able to speak and understand English, Urdu and Pashtu
  • Computer literate
